Cold-shipped reference materials need a deliberate inspection the moment they arrive. This checklist covers the points a laboratory should walk through at receiving so that the condition of a temperature-sensitive shipment is documented before anything is put into storage.

Some research reference materials are shipped cold to keep them within a controlled condition in transit. For a laboratory, the arrival of a cold-chain shipment is a short but important window: it is the moment to verify that what was received matches what was expected and to document the package's condition before its contents are unpacked and placed into storage. A consistent receiving routine turns that window into a recorded checkpoint rather than a quick glance at the box.

The checklist below is organised in the order a package is typically handled — outer packaging first, then identity and documentation, then the decision to store. It is a general laboratory receiving framework for temperature-sensitive research materials; specific storage conditions for any given material are described in the documentation that accompanies it.

On arrival: outer packaging and coolant

Begin before the box is opened. The exterior of a cold-chain parcel carries the first evidence of how the shipment travelled.

  • Inspect the outer carton for crushing, puncture, water damage, or signs the package was opened in transit.
  • Note the time of arrival and the condition of the package in the receiving record.
  • On opening, observe the state of the coolant — for example whether gel packs or other cold media are still cold and intact.
  • Check the internal insulation and packing for displacement that could have exposed the contents.

NoteDocument the package condition before unpacking the contents. A photo at receiving is a simple way to preserve a record of how a shipment arrived.

Identity: does the shipment match the order?

Once the package is open, confirm that the contents are what the laboratory expected. This is the step that connects the physical shipment to the paperwork and to the inventory system.

  1. Confirm the compound name and catalog code on the labels match the order.
  2. Confirm the quantity and number of units received against the packing documentation.
  3. Record the lot or batch number from each label — this is the traceability key for everything that follows.
  4. Verify that a Certificate of Analysis is present or available for each lot received.

The lot number is the single most important value to capture at this stage. It is what ties the physical vial to its certificate and to the laboratory's own inventory record. Capturing it accurately at receiving prevents traceability gaps later.

Physical inspection of the contents

With identity confirmed, inspect the contents themselves under laboratory lighting. Compare what you observe against the physical description on the Certificate of Analysis — for instance, a lyophilized powder described as white to off-white. The goal is a documented baseline observation, not a judgement about use.

  • Inspect each vial or container for cracks, compromised seals, or damage to closures.
  • Observe the physical appearance of the contents and compare it to the description on the certificate.
  • Set aside and document separately any unit whose packaging or appearance is not as expected, rather than mixing it into general stock.

Decision and handoff to storage

Receiving ends with a decision: accept the shipment into inventory and move it promptly to its documented storage condition, or flag it for follow-up. Temperature-sensitive materials should not sit at the receiving bench longer than necessary; the inspection is meant to be efficient precisely so the material can move to storage quickly.

  1. Log the receipt in the inventory or notebook system, including lot numbers and the receiving observations.
  2. File or link the Certificate of Analysis against each lot received.
  3. Move accepted material to the storage condition described in its documentation without unnecessary delay.
  4. Raise any discrepancy — damage, mismatch, or missing documentation — with the supplier promptly, keeping your receiving record as the reference.

Why the routine matters

The value of a receiving checklist is that it makes condition a recorded fact rather than a memory. If a question ever arises about a particular lot, a laboratory with a disciplined receiving routine can point to a dated record of how the shipment arrived, what was inspected, and where the certificate lives. That record is the foundation of lot-level traceability, and it costs only a few minutes at the point where the material enters the building.
